User Management

Add users, manage administrator access, and control account access from one place.

Go to: Dashboard → Settings → User Management

The User Management tab gives account administrators a single place to view everyone with access to the account, invite new users, assign administrator permissions, and manage existing access.

Who can use User Management?

Only account administrators can open and manage this tab. Administrators can invite users, update administrator access, send account emails, and remove or deactivate access. Standard users will not see the tab and should contact an account administrator if they need help.

View users

Open Settings → User Management to see each user’s name, email address, date added, current status, and administrator access. Use this list to confirm who can access the account before making changes.

Add a user

1. Select Add User in the upper-right corner.

2. Enter the user’s email address.

3. If prompted, enter the user’s first and last name.

4. Review the details and send the invitation.

If the email is already connected to a SwagUp login, the user is added to the account immediately. If the person is new to SwagUp, they receive an activation email and will be connected to the account after activating their login.

Tip: Ask the user to check their spam or junk folder if the activation email does not appear.

Understand user status

Status

What it means

Active

The user has activated their SwagUp login and can access this account.

Inactive

The user’s SwagUp login is deactivated. Their record remains available for account history, and an administrator can send a new activation email when appropriate.

Assign administrator access

Use the Admin control on an active user’s row to grant or remove administrator access. Administrators can manage users and perform administrative actions in the platform, so only assign this access to people who need it.

An account must always have at least one administrator. The platform will not allow you to remove administrator access from the last remaining administrator.

Manage an existing user

Select the More options menu on a user’s row. Available actions depend on the user’s current status.

Active

Send a password reset, remove the user from this account, or deactivate the user’s SwagUp login.

Inactive

Resend an activation email or send a new activation email to reactivate the login.

Choose the right access action:

Remove from this account

Removes access to the current account only. The user keeps their SwagUp login and access to any other accounts or organizations they belong to.

Deactivate from SwagUp

Deactivates the user’s entire SwagUp login and removes access to all SwagUp accounts and organizations associated with that login.

Important: Review the confirmation message carefully before deactivating a login. If this is the user’s only account, the platform may offer deactivation instead of account removal, as removing it would otherwise leave the login without access to the account.
